Travel Planning:
Please plan to be in St. Petersburg by 5:00 p.m. on Wednesday, November 30.
Reception and Dinner: 6:00 p.m. (location TBD)
The 2016 Mayors Conference will officially begin with breakfast on Thursday, December 1 at 8:00 a.m. and end after lunch on Friday, December 2 at 1:00 p.m.

Travel Arrangement:
We provide the lowest-priced reasonable ticket at the time of booking for invited participants when the trip is booked through the Kauffman Foundation travel partner, Travel and Transport. If you prefer not to accept that particular itinerary, you have the option of changing the itinerary but will be asked to pay the difference between the fare offered and the fare of your choice.

All charges, fees, additional fare costs or penalties incurred from changes made to airline reservations after they are ticketed are solely the financial responsibility of the participant and are not subject to reimbursement. Luggage expenses will not be a covered expense.

When contacting Travel and Transport, please be prepared to provide:
  • Your name as it appears on your photo ID
  • Date of birth
  • Gender
  • Seating preference (aisle or window)
  • Time requirements for travel
  • Departing airport
  • Relevant frequent flier numbers
  • Special requirement requests

Covered Expenses:
The Foundation will be directly responsible for the following expenses: hotel accommodations, conference meals and shuttle service to and from the hotel, including airport transfers and offsite events.

Expenses Not Covered:
We regret that we are not able to cover any additional travel expenses including: home-to-airport transportation, airport parking, meals while traveling, or incidental costs including car valet gratuities, spa services, restaurant/bar, honor bar, or any costs associated with guests traveling with meeting participants. Meals on your own are not reimbursed by the Kauffman Foundation.

For any person who is planning to attend the conference yet chooses to make his or her own travel arrangements, please notify Mette Kramer at mkramer@kauffman.org to ensure that all other accommodations are reserved.

Dress Code:
Dress for all events is business casual.

Cancellation Policy:
As a courtesy, we ask that all cancellations be made at least 14 days in advance by contacting Mette Kramer at mkramer@kauffman.org.

Note: If you are not permitted to receive your travel paid for by the Kauffman Foundation, you may still use the travel link that will be sent to arrange your travel. If you do not use our link, please share your itinerary with Mette Kramer at mkramer@kauffman.org, so that we can ensure all other conference-related matters are coordinated.

If airline reservations have been confirmed and ticketed prior to cancellation, the participant will be financially responsible for the full cost of the airfare. By making reservations with our travel agency and accepting covered travel accommodations, you acknowledge and accept the terms of this cancellation policy.
